Tuesday, July 22, 2008 - 10am - 5pm (~7 HOURS IN OFFICE) - I arrived in the office, sans donuts. I was going to get some donuts but decided not to. I may still get some before Council though - to hand out to everyone. I met with Rolando briefly and we discussed the budget update he is working on. I am going to quickly review our 2008 minutes to find any financial motions for him. I left my cord to hookup my portable hard drive to either my laptop or my office PC at home so I can't access any of my regular working files, so I'll be creating new work for myself today... some of that new work included the review of the 2008 minutes. I had a discussion with Trevor around 11am, about my job performance. We then went for lunch and discussed how the KSA had been doing while I was away. When I returned from lunch, I talked to DJ briefly about the paper and then attended the KSA Council Meeting which took place from about 1:30 - 4pm. I then waited for the C-FOX announcement of our upcoming Cram-Jam announcement which took place at about 4:45pm. Wednesday, July 23, 2008 - 10am - 11am (~1 hour AT HOME) - I exchanged a few e-mails with David Borins about the direction of our civil suit and updated my personal work log excel file.
Thursday, July 24, 2008 - 2pm - 6pm (~4 hours AT HOME) - I checked and exchanged a number of work related e-mails and also worked on finishing the task of going through the 3.5" floppy disks. I went through approximately 30 more disks. Nothing too interesting found on these disks but I found it interesting that two of the disks had documents related to ads and complaints by candidates involved in I believe either the fall 2004 by-election of the spring 2005 general election. The disks could have been left in the office by accident - having been worked on outside the KSA but it is curious that they were there - especially when I had a complaint lodged against me in one of these elections for working on ads on my personal laptop inside the public Richmond KSA lounge (not inside the Richmond KSA offices).
Friday, July 25, 2008 - Noon - 5:30pm (~5 hours, 40 minutes IN OFFICE) - Attended interviews (at Noon, 4pm and part of the 5pm interview) alongside Commercial Services Manager Catherine Wilkinson and Director of Operations Nathan Griffiths with candidates for the vacant staff position of Events Manager. Attended the Executive Board meeting. Finished preparing the Finance Committee agenda and attended part of the meeting which was held at the same time as the 4pm interview and the 5pm interview (it's why I only attended part of the 5pm interview).
In total, I worked approximately 34 hours this week (from Saturday, July 19 - Friday, July 25), out of a total maximum of 25 hours that I am eligible to receive pay for during this period.

Finally, during the last hour and a bit I've been discussing staffing HR issues with Derek Robertson, and also looking into the possibility of having a short extra executive board meeting tomorrow or Tuesday to discuss said issues. I also sent direction to the lawyer regarding statement of claim, and sent a few other e-mails about setting up other meetings during the week. And now, it's time for some rest. - S

Monday, July 28, 2008 - Approximately 11:15am - 4:45pm (~5 hours 30 min) - Due to traffic congestion, I was a little late getting into work today. I attended an interview with another candidate for position of Events Manager alongside Nathan and Catherine. Following that, the executive board had an emergency meeting to discuss some issues that have arisen over the past few days. Following that meeting, I met with our General Manager, Catherine and Nathan to go over issues related to Cram Jam, and sat in as they made some calls related to that event. I let Chelsea know that I would be taking this Wednesday off as I thought I was going to have today off -- which has not happened and it is hurting my ability to search for an apartment. Finally, I compiled proof of my past registration and submitted it to Rolando in support of past tuition benefit payments I have received. I also sent the following friendly reminder to my fellow executive members, requesting they do the same... Dear executive members,
This is the time of year that we all submit to Rolando requests for tuition benefits. This is a friendly reminder to you all that we need to follow the regulations concerning any benefits we receive (or may have already received for the Summer 2008 semester or earlier). As per Section X, Article 2(2)(ii)(d), you must provide to Desmond & Rolando the following: "proof of initial registration, proof of continued registration after the final date for withdrawal, and such other documentation as the General Manager sees fit must be provided to the KSA in order for an Executive member to be eligible for the tuition credit;"
If this is your first time applying for the benefit, and you did not take courses in the Summer of 2008, as per Section X, Article 2(2)(ii)(f), you can still apply for the benefit but failure to provide the above documentation after the early withdrawal date to Desmond & Rolando will result in you having to repay the benefit to the KSA. Specifically, Section X, Article 2(2)(ii)(f) states: "the tuition credit may only be used to reimburse the Executive member for the monetary amount actually paid to Kwantlen University College - any amount refunded or not paid due to early withdrawal (or any other reason) shall not be covered by the tuition credit, and if dispenses pursuant to (e) above, must be repaid to the KSA in a manner determined by the General Manager."
I provided the following today to Desmond and Rolando in support of the benefit I have received since September 2006, both of which are accessible through the "Student Records" section of the Kwantlen Web-Registration system:
* Copy of final grades for semesters during which I took courses in support of proof that I continued enrollment in my courses after the withdrawal date; and * Copy of my account summaries by term, as proof that I paid Kwantlen University College tuition covering the terms during which I received the tuition benefit.
If you have already received the benefit for courses taken in past terms, failure to submit this documentation could result in future requests not being approved by the General Manager. Rest assured that all sensitive information concerning your grades and registration will be kept confidential with Rolando.
Thanks for your prompt attention to this matter.

Tuesday, July 29, 2008 - approximately Midnight - 2:30am (~2 1/2 hours AT HOME): I sent an e-mail to my fellow executive asking that we add a topic to Friday's executive meeting called "Regulation numbering errors" whereby we recommend the following motion to Council for adoption: "Resolved, that the executive board recommend to Council that the policy analyst be directed to correct all numbering errors within the regulations posted online as of July 29, 2008." Titus, being the thorough individual he is, leaves any errors in numbering that are approved by Council within draft copies of the regulation changes. I noticed some online and would like to give him the permission he needs to correct whatever errors may exist so that the regulations can be properly cited. I also sent an e-mail to Rolando to ask him if he can clarify for me the types of staff the Society has, so that the hiring procedure can be updated (we used to classify them as follows > "Senior full time," "Junior full time" and "Junior part time" but it is my understanding that these classifications as stated in the procedure are outdated). I, art. 2 be amended by adding an additional clause, to read: 'The Policy Analyst may revise the Regulations and the Executive Procedures to correct spelling, punctuation, reference, numbering, and lettering errors and irregularities.'" Wednesday, July 30, 2008 --- I ended up not working on July 29, 2008 as I got hit with a very bad allergy attack as I was en route to the KSA. I thought it would be bad form to sit in on an interview being all sniffly and sneezy. I also took this morning off, as I was still not fully recovered from the attack and ended up sleeping from 9am until about 1pm. I was able to send an e-mail out this morning regarding a meeting I had at noon with Financial Awards & the Foundation about changes to the KSA awards but we have agreed to deal with that issue via e-mail. On that front, from 1:40pm - 2:40pm (approximately 1 hour AT HOME), I worked on some additions to the regulations concerning how we oversee our awards, bursaries and scholarships. I should probably put a clause in there about financial need - and that we shall stay away from scholarships which tend to award academic merit as opposed to financial need. Anyway, I have attached the draft on this to the Draft changes to finance & budget regulations topic on this forum. - S

Thursday, July 31, 2008... 1:30am - 3:15am (~1 hour 45 min AT HOME): I received from our legal counsel the first document regarding the 2006 post audit memorandum and he said he would have the one regarding the 2007 memorandum to me by the end of today's business day. Once I receive both, I will forward them to our auditors for them to review the questions we have about the memorandums and from that he can address them and finalize the documents. July 31, 2008 - Approximately 11am - 2pm (~3 hours in Richmond KSA); 10pm - 3am (~ 5 hours at home): I attended the executive board meeting during this time. Following the executive meeting, I sent the changes to the awards that were approved to the University College. I really am proud of the changes we have approved as I think they really bring us closer to having a set of awards that reach out towards a wide breadth of students. With the bursary fund that was recently approved by students, I hope we can eventually address two more areas - "4th year studies" and "Applied Design & Communications." I also hope that in the years to come we can increase the size of the endowments for all of our awards so that they produce more interest and thereby allow the KSA to award more students more money each year. Finance was going to be at 3pm, but at around 2:30pm, I learned that no one would be coming to my Finance Committee meeting. So it was canceled. The next one is next Friday. I'm okay with today's being canceled. It gives me more time to tweak the regulation changes. I am going to probably forward the changes to Titus for his input and he may have better wording for some of the things I am trying to do. I want the changes to be rock solid. I may seek to call an emergency Council meeting the week of August 11 for the purposes of passing a budget update and if we can get them finished in time, the regulation changes. I plan to work on a few things this weekend - the budget, the regs, finalizing (as much as I can - I may have to FAX / e-mail some institutions as some websites are just SOOO confusing) research on student fees at other institutions and putting more documents online. My girlfriend is away this weekend so I don't have too much to do - although I am trying to get a group together for the fireworks finale tomorrow night. Wow, scanning the 1985-86 Student Handbook took forever. But it is now online... http://kusa.ca/files/pdf/2129.pdfThe 86-87 handbook is a similar format and considering the 85-86 took me the course of two days to scan I'm going to skip over it to the 1990 one which is spiral bound and easy to take apart for scanning. The handbook was about 45 pages long but I had to do it page by page, as I couldn't take it apart for the document feeder. I also scanned the original at a higher resolution so each page took about 5 - 10 minutes to scan. While I was scanning it, I uploaded photos from my vacation and did some work on the regulations. Sadly, I haven't closely tracked the time I have worked over the last two days but if you condensed it to a tight time period it would be approximately 7 hours of work done. I'll go back to scanning the 86-87 handbook next weekend. Sadly, we don't seem to have anything on hand for the 87-88, 88-89 or 89-90 school years. Well, I've been busy doing a number of things the past few days and I will write a more thorough post about that soon but I wanted to let everyone know that the 1990-91 student handbook is now scanned and online... http://kusa.ca/files/pdf/2132.pdfIt took a lot longer than I thought it would as my scanner decided not to scan properly. It is supposed to have a double sided feature for scanning double sided pages but it decided not to work. So it was scanning in chunks --- a few pages and then it would stop. Eventually, after running through the whole document I found it had missed many pages and so I had to figure out what it had missed. Once I figured that out, I ran them through on single sided scan only and then ran the batch through again to do the opposite side and this worked a lot faster - although it meant going in and rearranging the pages within adobe acrobat which was annoying to do. But it's now done and it's now online. Kwantlen had about 4,500 students in 1990 and the Surrey Campus had just opened. The planning for the new Richmond campus was well underway. The KSA was looking for people to continue the Thorn - the student newspaper the KSA ran in the 1980s. The agendas appear to have had letters from both the president of the KSA as well as the University and the Faculty Association - something that has not be done in a long time, at least not in the time I've been at the KSA.

Here is an update regarding my hours over the last few days since the last post where I talked about my hours...
August 2, 2008 approximately 9pm - 11pm (~2 hours AT HOME); More research into student fees at other post secondary institutions; Began scanning 1990-91 student handbook
August 5, 2008 - spent approximately 3 hours AT HOME scanning the 1990-91 student handbook (did not track exact time - had to do a lot of page by page work as reported on earlier in a previous work blog post)
August 6, 2008 - 10am - 1pm (~3 hours AT HOME); 2pm - 5pm (~3 hours IN OFFICE) - Exchanged e-mails with David B and other people in KSA regarding CKNW, Mumford's petitions and Wozny; finished scanning 1990-91 student handbook and posted it online; sorted papers that were returned to office in afternoon. IN OFFICE > Worked on review of council meeting minutes for finnce related motions; met briefly with Desmond to review some things.
August 8, 2008 - 11:30am - 4:30pm (~4 hours IN OFFICE) - Cleaned a bit in meeting room; attended executive meeting; met with Desmond & Derek; e-mailed Desmond regarding Trevor's benefit; finished review of 2008 council meeting minutes and posted results to Finance Committee forum.
August 8, 2008 - 8pm - 11pm (~3 hours AT HOME) - Chatted online with Derek about Trevor's benefit, staff wages & benefits; e-mailed memo re: Trevor; drafted Tuition benefit request form; reviewed benefit regs again; found samples online of what can be used to justify benefits without violating privacy of student (re: grades); sent idea for exec orientation to executive by e-mail.
For week one, I worked a total of 31.5 hours, 8.5 of which were in the office. I am only eligible to receive 25 hours per week; and as I put in no overtime request and did not work a total 10 hours in the Surrey office I will only be eligible to receive 23.5 hours of pay for week one.

The 1986-87 Student Handbook... http://kusa.ca/files/pdf/2197.pdfI now scanning the 1991 - 92 handbook. Sadly, as I mentioned before we don't have the 87-88, 88-89 or 89-90 handbooks in our archive. I'm going to see if the library has them. I also want to see if they have old copies of THE THORN.
