It's been a few days since I posted an update, aside from posting my report to Council late Thursday night. Here is a summary of the work I've done since the last post that tracked my hours...

August 10, 2008: approximately 2:00pm - 6:00pm (~4 hours AT HOME); 9:00pm - 1:00am (~4 hours AT HOME): Continued scanning 1991-92 handbook; sorting files; sorted more files and posted annual reports from 2000 & 2003 to AGM section of website; sent e-mail about book fairs; sent Ashley ideas for movies featuring assisted suicide; e-mail to Deep about Danish's letter; started revisions to campus council regulations.

August 11, 2008: approximately 11am - Noon (~1 hour AT HOME) and 8:00pm - 2:00 am (~6 hours AT HOME): E-mails between David B. and others; contacted Books R Us via online form; finished scanning 1991-92 handbook; Worked on sorting the 1991-92 handbook (ended up having to scan it out of order and had to reorganize the pages so it was in order); re-scanned 3 pages; posted 1991-92 handbook online; started work on report to council; worked on Finance Committee Agenda.

August 12, 2008: approximately 10am - 1pm (~3 hours AT HOME); 4pm - 7pm (~3 hours on Richmond Campus); 10pm - 2am (~4 hours AT HOME): Scanning 1993-94 handbook; more sorting of 1991-92 handbook; e-mails; Worked at Richmond Campus KSA on laptop - sorting 1991-92 handbook; prepped more minutes for upload. Later that night posted more minutes / agendas as well as the 1991-92 handbook.

August 13, 2008: 6pm - 7pm (1 hour on Surrey Campus): Checked and responded to e-mails.

August 14, 2008: 11am - 2pm (3 hours AT HOME); 3:30pm - 7pm (3 1/2 hours in Surrey); 9:30pm - 2am (4 1/2 hours AT HOME): Worked on budget and finance committee agenda; talked with Derek on MSN about budget issues. IN OFFFICE > Informal finance committee meeting with Derek; sent questions re: budget to Rolando; did up non-meeting motion for Vanessa; made space for the scanner. Back at Home > Worked on report to council and sent to Titus; started work on Monday's finance committee agenda; did more work on budget.

August 15, 2008: 10am - 5pm (7 hours AT LAWYER'S OFFICE): Executive Team-Building Orientation Session.

I did a total of 49.75 hours this week, of which 14 1/2 hours were in the office (7 of which were at Lawyer's). 35.25 hours were at home. I am only eligible to receive 25 hours of pay for the week as I did not put in an overtime request.

For the last two weeks my total time worked for the pay period was 81.25 hours of which 23 were in the office (7 of which were at the Lawyer's). 58.25 hours were at home. In total, I am eligible to receive only 48.5 hours for the pay period, as in week one of the pay period I missed 1.5 hours in the office.

I asked Deep on Thursday to at least place the scanner I am getting at work at my desk in a spot I cleared for it - so Monday I can continue scanning documents for the archive both at the office and at home, thus allowing me to increase the amount of time I spend in the office.

Saturday, August 16, 2008 - I was supposed to have attended the second orientation training session today but didn't because over the past 24 hours I've developed a very sore throat and today woke up with a fever of 103. So I spent the day sleeping. I've done so many orientations in the past though that I should be able to carry out my duties as required in spite of having missed the session.

Last night, I was up from midnight to 2am (~2 hours AT HOME): Replied to e-mails > one sent by financial awards and one by Rolando; sent e-mail to Derek re: executives assigned to campuses; uploaded August 18 agenda to website; updated calendar with upcoming events; and sent the General Manager an Overtime request for the next pay period.

Today, from 3pm - 4:30pm Finished sorting the 1992-92 agenda and scanned the last page of it, posted it online and I updated work blog...

I also sent an e-mail to RCC letting them know that older minutes were now online and gave them some tips for improving the quality of their current minutes and agendas (which are fairly well done - and I give them huge kudos for being one of the only committees, campus councils or liaison commissions to have posted anything since April 2008).

In working on sorting minutes & agendas from the master file I scanned everything from 1991 into, I noticed there were some attachments that belonged to the AGM minutes which got sorted behind minutes from April. They clearly did not belong with those minutes as there were no references in those minutes to those documents and they were clearly AGM documents. So I added these to the attachments of the February 1991 AGM and reposted that document here: http://kusa.ca/files/pdf/2351.pdf

On a personal note, my fever that was at 103.5 yesterday is now only 101.7 and my throat is less sore than it was yesterday... hopefully the fever will break sometime soon.

Monday, August 18, 2008 - (1) 4pm - 6pm (~2 Hours AT HOME), (2) 9pm - 11:30pm (~2 1/2 hours AT HOME), and (3) 3:00am - 5:00am (~2 hours AT HOME): (1) Returned the calls of a number of media outlets that had left me messages. Updated executive on contact with media. (2) Reinstalled and prepared computer to record Channel M coverage of the KSA lawsuit against former elected officials and staff of KSA. Recorded said report. Converted said report to a format acceptable for uploading online and uploaded it. (3) Converted to pdf and posted some of the media stories that were online that evening, and updated the forum topic on "Summary of KSA Media Coverage to Date" regarding the latest media attention received with links to both the original stories as posted online, along with links to the archived copies.

Tuesday, August 19, 2008 - (1) 12:30pm - 5:30pm (~5 hours in KSA SURREY) and (2) 10pm - Midnight (~2 hours AT HOME) - compiled photos and documentation for GLOBAL TV and e-mailed GLOBAL TV some of that information as well. Attended parts of the KSA Council Meeting. Met with Desmond, Catherine & Laura about HR and other KSA issues. Conferenced called with Desmond to the Surrey RCMP. (2) Responded to a number of e-mails. Recorded the Global TV piece at 11pm. Worked on Regulation changes.

Wed / Thurs - I did stuff but right now I forget what and when. I'll update what I did on those days on the weekend (I sent e-mails, replied to posts on a number of online forums - so I should be able to figure out when I did stuff).

Friday, August 20, 2008 - (1) 11:30am - 12:30pm (~1 hour AT HOME) and (2) approximately 1:00pm - 6:00pm (~5 hours in KSA SURREY) - (1) Uploaded the Global TV piece; responded to posts at Macleans.ca. (2) Put together my new scanner, installed software. Started this post regarding an update to my work blog. Scanned an article from Georgia Straight to test scanner, also printed to PDF same article from Georgia Straight to test the PDF maker I installed today as well. Everything seems to work... see file here:

I am now testing the automatic document feeder with an agenda from 1997... I'm not sure I like the new adobe version 9... okay scratch that. The new version seems to be good - I just couldn't find a feature that version 8 used to have in one spot. They moved it! Damn them! Overall, though the new scanner is working well. It has cool parts for scanning photos / negatives which will come in handy when I scan our photo archive later this fall.

I talked to Deep, our Computer guy about the colour printer we have and the copier. He's going to get quotes on a new colour printer and also ask our printer supplier about add-ons to our black & white machine. I'd like us to see if they have a sorter that folds brochures - if my mind serves me right one does exist.

Finally, I did some cleaning in the executive office as I've found it's gotten a bit messy. I put aside some boxes to take to storage which I will do on Monday (I would have done it today but the dolly has a deflated tire and we have no pump... and the other dollies are also nowhere to be found at this time). But just removing those five or six boxes has already made the space near my desk look bigger. I also need to buy some cloths so I can polish the furniture.

One thing I want to do this weekend is put the 2007 AGM video online. Sadly, I do not have the 2008 AGM as I did not video tape it. Student Rob Mumford did tape it but refuses to let anyone copy his tape.

It has been awhile since my last update and for that I apologize. In talking to Derek the other day, it appears he does read my work blog and I encourage him to start one up too so that others can know what he is up to as well.

Thursday, September 11, 2008 - 11:00am - 7:00pm (~8 hours in Surrey); and 11:00pm - 3:30am (~4 1/2 hours @ Home) - I came and helped out with the Surrey Welcome Day today, mainly filming and taking photos of the event. I then came into the office to upload some of the videos I took but to no avail as I didn't have the right cords on me in the office. So I took a quick trip to Future Shop & London Drugs to get the right cord and for some dyslexic reason I bought the WRONG cord!

I created a few new accounts for us at the KSA:

Which will be used to house copy of videos of KSA events. We had thought of creating a section of the KSA website for videos but in the end decided not to as more people visit youtube and sites like that. I will be uploading later tonight (or over the weekend) some of the video I shot today.

I will be uploading new photos to that site from now on. I'm not going to re-upload the KSA photos I have online from past years as that would just take too long. Those photos are already part of a few Kwantlen groups that are on flickr and I joined the new KSAphotos user up to those same groups - and will just add new stuff to that group so that anyone interested in photos of Kwantlen can find that group.

I scanned more minutes/agendas from 1997. Only 2 years of stuff left to scan and the scanning will be complete. With the scanner at work now I can move faster to getting this done soon. I know it bothers Derek that I'm doing this but having an archive online is important to me --- it's something that I've wanted to see done ever since I started in the KSA back in 2001. It's also important for having a history of the KSA accessible and feeds into the fact that the oversight of the KSA website is under my portfolio. Once the archive is up I will work on completing a section online for our minutes agendas. I know Derek thinks this is something that a staff member could do - but a. we don't have many staff and the ones we do are already super busy doing other more important things. And the KSA doesn't have to pay me as much money to do it as most staff members get paid more than elected officials. So it's a win-win situation in my mind. Plus, it's almost done. And no, Derek, it's not taking away from my other duties. Finishing the archive was also an election promise I've made in the past.

I also did some cleanup and organization of my desk area. I found some videos I had taken back during the RAF era, videos that were on my personal site but that I had wanted to upload to Youtube / LiveVideo. I uploaded one of these to the Concerned Students LiveVideo site and will be doing some more uploads in the near future. It's something I had wanted to do for awhile now so I'm glad I found the discs in question. The first video is uploaded here:

Tuesday, August 9, 2008 - 5pm - 6:30pm (~1 1/2 hours at KSA SURREY): Checked and responded to e-mails. Worked on fee structure proposal that will be brought to next finance committee meeting.

Monday, August 8, 2008 - 8:30am - 10:00am (~1 1/2 hours at KSA SURREY): Checked and responded to e-mails. Called and spoke to the KSA lawyers about the civil suit, the student newspapers and other issues.

Friday, September 12, 2008 - 11:30am - 6:00pm (~6 1/2 hours in Surrey): I am uploading another video that I found yesterday to the Concerned Students website regarding the January 2006 RAF run election and it is now located here:

I started to hookup the VCR to my computer at work but found the options for connecting things to not be as wide ranging as I had hoped. I'll see what I can do in terms of getting a converter switch box hoooked up before I can upload more stuff. I had noted when I started this post that I'm going to take a look and try converting to digital format the on-campus all candidate debates the KSA organized for the 2004 Canadian federal election. The videos are long though, so I don't know if uploading them to YouTube is workable as they only allow a video length of about 10 minutes per video. I may or may not make a "highlights" video but I'll figure that out once I have the footage converted. I expect to have some stuff up soon.

We had an executive board meeting in the afternoon which lasted about an hour and a half? I TOTALLY forget. I organized more at my desk and scanned more of the 1997 minutes. I scanned a black & white photo of myself to test the scanner for photo scanning - which is one of the things I'll be doing once I'm done the minutes. I uploaded the test scan here:

I also organized more papers and placed all of the documents we had regarding the KSA as filed with the provincial registry into a binder which I'll be passing on to Titus next week. The organizing is coming along well and my desk should be nicely organized within the next two weeks - which excites me!

That's about all I did. It doesn't seem like a lot but it was - and I'm happy with the progress I made on a number of things.

Well, it has been awhile since I posted. Early September was my last real post? There are a whole host of reasons why I haven't posted which I won't get into today, to help save time and to simply get back on track with what I have been doing this week. In short, I apologize to the students and my fellow elected officials for not reporting to the last 2 council meetings, and for not maintaining my blog. It's not that I haven't been doing anything - I have been attending meetings and doing work - I just have not been properly tracking and reporting on the work I have been doing. Which I know, is not acceptable.

So, it's now back to blogging and keeping people up to speed with my work!


THURSDAY, OCTOBER 30, 2008 - A. 11:00am - 6:30pm (7 1/2 hours in SURREY CAMPUS KSA OFFICE); B. 7:30pm - 9:45pm (2 hours & 15 min in KSA SURREY); C. 11:30pm - 12:45am (1 hour, 45 minutes at HOME):

A. I spent my morning completing a review of the monetary motions that Council moved over the year, with an eye for finding what money the KSA Council has allocated for release from its reserve funds. At 2:00pm, myself, the General Manager and our Financial Assistant met with officials from the KSA's bank, CIBC to discuss the state of our investments and other related issues. After that, I worked with Titus to help sort and catalogue some of the documents at my desk.

B. I helped Derek count the U-PASS plebiscite ballots. When we finished that, I continued organizing stuff at my desk - and luckily, I found all the agenda daytimers I thought had gone missing. Someone had taken them out of a box that they were in and put them into a cloth bag, that was at my desk. There are a few that still seem to be missing but I actually don't think the missing ones in question were even in the archive to begin with, those being the 2002-03; 2003-04 and the 2004-05 daytimers. So they are all now nicely filed away into a drawer in the executives office and the ones that have not yet been scanned will be and should be online by the end of 2008 (scanned documents are already here: http://kusa.ca/index.php?pid=72&comid=35 ). I've also been discussing stuff with Vanessa and Derek who are also in the office working tonight.

C. At home, I responded to a number of e-mails and posted some updates about PIPS to this forum. I also sorted some files that I intend to upload to the website in the near future.

Friday, October 31, 2008 - 2:00pm - 4:30pm (2 and 1/2 hours at the Surrey Campus KSA Offices): Attended executive board meeting and while the meeting occurred, I prepped some more minutes and agendas from 1994 for uploading to the website. Responded to e-mails, and asked our Computer guy to make a few tweaks to the forums as per suggestions by a forum member.

Monday, November 17, 2008: 2:00 pm - 2:20pm (~20 m in Surrey): Reviewed and signed cheques. There was a KSA Council meeting at 3pm in Langley which I was not able to attend. I unfortunately did not even know it was happening until after the agenda was sent out. With many people being on different conferences, no e-mail notice was sent out to councilors reminding them to submit reports (as has been the unofficial but regular practice in the past).

Monday, November 17, 2008: 9:30 pm - 11:30 pm (~2 hours at home): Checked and responded to e-mail. Apparently Council voted to reduce my hours to zero if a draft budget is not e-mailed to the executive board by November 24. Part of that motion also said I was to cease working on the archive (which I actually haven't been doing since October), and that I was to cease updating my work blog. Well, I'm not going to stop working on the work blog and if Council wants to reduce my hours to zero for telling people about what I am doing then so be it - I can rally against that when that time comes.

I have been negligent enough in regards to maintaining this blog, and I feel it is of the utmost importance that students know what is going on. Students deserve to know what I am doing for the 25 hours of work I get paid for every week. And to that end, I will continue to update this blog.

I also got accused of claiming hours for posting to my blog and to newspaper sites, which I don't do. But we are all supposed to track our hours and I think a more in-depth tracking should be required of all officials. Too often, no meaningful summary of work completed is done by executives and just a tally of hours is submitted to our payroll people. We require our campus councils to keep paper log books - so executives should have to do the same. I just choose to post it online instead of on paper. And I vow to keep doing it from today until the day I leave office - unless I fall gravely ill, there won't be a missed update.

So since I got that motion, I put more work into the 2009 draft of the budget that I have been working on. I already have a packed week ahead of me, so this motion will make it even more packed as I will be doing in one week what was originally planned to happen over the course of two to three weeks. To that end, I believe a draft of the budget was already posted to these very forums a few months ago. But Council is right in wanting an update and so they will get many this week and as close to a completed draft will be ready by week's end.

In relation to the budget, I asked for an update from Catherine and Desmond in regards to the status of the Gift Cards program. I understand Catherine has been working on it lately and I want to know if we will have it in place for January. In November 2006 Nathan first brought information on this program to the KSA's attention and up until recently, very little was done to implement that idea.

I also obtained the latest enrollment data from the Kwantlen website, which will be used to inform some of our membership fee revenue projections for 2009. I also used the data to crunch the proposed budgets for campus councils.

Tuesday, November 19, 2008 - 12:15am - 3:15am (~3 hours At home): I searched the Kwantlen website to see if they had any data about how many students are full time and how many are part time to help further crunch our membership revenue fee projections for 2009 - and I was glad to see that they did have this data and it helped a lot. I also e-mailed Kwantlen to see if they had preliminary data on the head counts of students enrolled on each campus for this fall 2008 semester as I have heard our numbers on campus have dropped a lot this term, which could affect our projections.

I started work on a draft agenda for a possible finance committee meeting which I would like to hold this week.

I noticed some inconsistencies with how the health & dental fees were presented on the Kwantlen calendar, and I also noticed that the fees don't even appear in the summary of fees page that is a part of the spring 2009 registration guide. I e-mailed Desmond, Rolando and our benefits office about that.

I e-mailed Ashley to see if she had any plans for expanding the advocacy service in 2009.

And before revising this blog entry, after I finished my work I did a quick update to the KUSA forums, starting a new discussion topic for the 2009 budget. Finally, a draft of the budget has been posted on the Financial Documents page of our site.
